What stays in your browser

The shift calendar, the crew chart, date lookups, statistics and the hours and overtime estimate are all calculated on your device. Free exports — printing, PNG, month and year PDFs, the .ics file and CSV — are also made in your browser. Schedules you save and the notes you add to dates are kept in your browser's local storage; your pay rate is only used on the page. We do not store any of these and cannot see them, and clearing your browser data removes them.

Your original images never leave your browser. When you add a logo or a unit name to a crew poster, or notes to a yearbook, our server sends back the PDF without them and your browser adds them to the file on your device.

What Pro outputs send to our server

The four Pro outputs are produced on our server, which receives only the computed schedule data needed to make the file: the pattern, cycle day 1, year, crew or crews, shift length and start times, holiday region, any custom cycle, and your payday and overtime settings. For the Excel workbook, the hourly rate is sent too, if you enter one, so the pay formulas have a starting value. Notes, logos, unit names and images are never sent. The server builds the file in memory, returns it to you and does not store it.

Calendar sync links and share links

A calendar sync link contains only the schedule settings above, your time zone, an expiry date on Annual plans and a signature that stops it being altered. It contains no email address and no account identifier. Your calendar app fetches the link from time to time; each time, the server rebuilds the shifts from the link and does not keep a copy. Anyone you give the link to can see those shifts, so share it as you would a printed rota.

Share links work the same way: the schedule settings are in the address itself, never your notes or pay rate.

Payments

Payments are handled by Stripe, which receives your payment details and email address. We receive a payment confirmation and an anonymous customer reference. We never see your card number.

What we store

To remember what you paid for, we store an anonymous access record (plan, status, expiry or remaining uses) and a one-way keyed hash of the email address you paid with, so you can sign in on another device. We cannot turn that hash back into your email address. Sign-in emails are sent through our email provider. A single strictly necessary cookie keeps you signed in on this browser. We do not store your schedules, uploaded files or generated files.

Analytics and hosting

We use Plausible Analytics, which does not use cookies and does not collect personal data. It counts page views and a few anonymous events, such as generating a calendar or downloading a file, together with the pattern name. The site is hosted on Vercel, which processes your IP address to deliver pages and may keep short-lived technical logs.

Your choices

You can delete saved schedules and notes in the tool, or by clearing this site's data in your browser. Email shiftpatterncalendar@vezli.net to delete your access record or ask any question about this policy. To go back to the calendar, use the shift calendar generator.
